Verification and security

KOTLYARS applies reasonable verification procedures and security measures designed to promote safer marketplace interactions. While the platform actively supports user protection, every buyer and seller remains responsible for exercising independent judgment, due diligence, and reasonable caution before completing any transaction.

Verification and platform review help reduce risk but cannot eliminate it. Every user should independently verify the identity of counterparties, the authenticity of items, and the accuracy of all transaction information.

This guidance applies to all users of the KOTLYARS international marketplace and auction platform and complements the Terms and Conditions, Privacy Policy, AML/KYC Policy, Seller Terms, Buyer Terms, and other applicable marketplace policies.

  1. Account Protection. Use a unique, strong password for your KOTLYARS account and keep your login credentials confidential. Never share passwords, one-time verification codes, or authentication credentials with any other person. If you notice unfamiliar account activity, profile changes, or suspected unauthorised access, change your password immediately and notify KOTLYARS without delay.
  2. User Identity Checks. For certain categories, high-value transactions, compliance purposes, or suspicious activity, KOTLYARS may request documents confirming a user's identity, address, or contact information. Where required information is incomplete, inaccurate, or cannot be reasonably verified, the platform may restrict account functionality or decline to provide certain services.
  3. Seller Verification. Sellers must provide accurate personal or business information and possess the legal authority to offer listed items for sale. KOTLYARS may request documentation confirming identity, address, business status, ownership, provenance, or authority to act on behalf of the owner. Completion of these checks should not be interpreted as an unconditional guarantee of a seller's reliability or trustworthiness.
  4. Listing Review. Before publication or following a user report, KOTLYARS may review listing descriptions, photographs, categories, supporting documentation, and related information. The platform may request additional evidence, suspend publication, reject a listing, or remove content that violates marketplace policies or applicable law.
  5. Certificates and Authenticity. Sellers should disclose available certificates, laboratory reports, expert opinions, provenance documentation, and other relevant information for gemstones, jewellery, artwork, precious metals, and other valuable items. KOTLYARS is not a gemmological laboratory, authentication authority, or appraisal organisation. Buyers should independently verify documentation and obtain professional advice whenever appropriate.
  6. Provenance and Ownership. Sellers remain responsible for establishing lawful ownership, legal provenance, and the authority to sell or export listed items. KOTLYARS may request purchase records, inheritance documents, provenance records, customs documentation, export permits, or other evidence demonstrating lawful possession.
  7. Payment Security. As of the Effective Date, KOTLYARS does not receive, process, or hold user payments. Buyers and sellers arrange payment directly between themselves. Users should always use secure and traceable payment methods, verify the recipient's identity and payment details before transferring funds, and avoid sending money where payment instructions change unexpectedly or undue pressure is applied to complete the transaction quickly.
  8. Safe Communication. Keep copies of listings, correspondence, invoices, certificates, shipping records, photographs, and all documents relating to a transaction. Never disclose passwords, authentication codes, or unnecessary personal information. Exercise caution when receiving links to unfamiliar websites, software installation requests, unexpected attachments, or proposals that differ materially from the published listing.
  9. Detection of Violations. KOTLYARS may review user reports, account activity, marketplace behaviour, and listing information to identify suspected fraud, counterfeit goods, prohibited items, inaccurate information, or other rule violations. Where appropriate, the platform may request explanations, restrict marketplace functions, suspend or close accounts, remove listings, or take other enforcement measures consistent with applicable policies and law.
  10. Reporting Suspicious Activity. If you suspect fraud, counterfeit goods, illegal items, account compromise, identity theft, or other suspicious conduct, discontinue the transaction immediately and preserve all available evidence. Report the matter through the KOTLYARS Contact page as soon as possible. Where financial loss, criminal activity, or personal safety concerns exist, users should also contact their bank, payment provider, or the appropriate law enforcement or regulatory authorities.

Platform verification, document review, and security measures are intended to reduce risk but cannot guarantee the identity of users, the authenticity, quality, provenance, value, or legality of listed items. Every buyer and seller remains responsible for conducting independent verification before completing any transaction.

By using the KOTLYARS platform, users acknowledge that marketplace security depends upon both reasonable platform safeguards and responsible conduct by every participant. Independent due diligence remains an essential part of every successful transaction.
